The Challenge

The system enforced capacity limits -- when a designer was booked beyond their weekly maximum, the platform flagged the conflict and suggested alternative resources with the right skills and availability.

AI-Powered Project Health Scoring Azure OpenAI analyzed project data -- milestone completion rates, approval cycle times, resource utilization patterns, scope change frequency -- to generate a real-time health score for every active project. Projects were categorized as green (on track), yellow (at risk), or red (likely to miss deadline). The AI model drew on the agency's historical project data to identify patterns that preceded deadline failures, providing early warnings that gave managers time to intervene. Health scores updated daily and appeared on the agency's main dashboard.

Client Approval Chain Automation N8N workflows managed the entire client approval process. When a deliverable was ready for review, the system automatically routed it to the designated client approver with a deadline. Automated reminders escalated through email, then SMS if the approval was overdue. Approval decisions were logged with timestamps, and production tasks were automatically unlocked once approval was granted. The system also tracked average approval cycle times by client, giving account managers data to set realistic timelines.

Milestone Notifications & Escalation Zapier integrations delivered real-time notifications through the agency's existing channels -- Slack for internal updates, email for client-facing milestones.
