The Challenge

Plumbing work is parts-intensive. Every truck carries hundreds of fittings, valves, pipes, and specialty components, and the difference between a completed job and a return trip often comes down to whether the right part is on the truck.

The company had no system to manage truck-level inventory. Parts tracking was manual, inconsistent, and largely based on technician memory. This created several compounding problems.

First, technicians frequently lacked the parts needed to complete jobs on the first visit. This forced return trips to the warehouse or emergency runs to suppliers, adding cost and delaying service. Customers were frustrated, and the company lost revenue from jobs that could not be completed same-day.

Second, truck stock was not optimized. Some trucks were overloaded with parts that rarely moved, while others were missing high-demand items. There was no data-driven approach to stocking decisions — it was left entirely to individual technicians.

Third, the company had limited visibility into overall inventory levels. Parts were spread across multiple trucks and a central warehouse, but there was no consolidated view. Reordering was reactive — the team discovered they were out of a critical part only when a technician needed it and couldn't find it.

Key Components

Truck-Level Inventory Tracking Each truck was assigned a digital inventory profile, allowing the company to see exactly what parts were on each vehicle in real time. Technicians updated stock as parts were used, received, or transferred.

Usage-Based Stock Optimization Historical job data was analyzed to identify the most frequently used parts by service type and technician. Truck stock levels were then optimized based on actual demand patterns rather than guesswork.

Automated Reorder System When stock for a high-demand part dropped below a defined threshold, the system automatically generated a reorder request, ensuring critical parts were always available.

Job-Level Parts Tracking Every part used on a job was recorded against the work order, creating a clear trail for cost tracking, billing accuracy, and profitability analysis.

Warehouse & Supplier Integration The system connected truck inventory with warehouse stock and supplier catalogs, enabling streamlined transfers and ordering from a single interface.

Mobile Access for Technicians Technicians could check stock, log parts usage, and request transfers directly from their mobile devices in the field.
