The Challenge

The company's estimating process was entirely manual and dependent on a small number of senior staff who had the experience to price jobs accurately.

Estimates were built in spreadsheets, pulling from memory, past projects, and supplier price lists that were frequently outdated. This created several compounding problems.

First, estimates took too long to produce. Complex commercial bids required days of manual work, and during busy periods, the team simply could not turn around quotes fast enough to compete. Contractors who responded faster were winning projects the company was qualified to deliver.

Second, accuracy was inconsistent. Without standardized pricing logic or material databases, two estimators could produce significantly different quotes for the same project. This led to either overpricing (losing the bid) or underpricing (winning but eroding margins).

Third, there was no visibility into the bid pipeline. Leadership had no centralized way to track how many bids were outstanding, what their win rate was, or where bottlenecks existed in the quoting process.

Fourth, institutional knowledge was trapped in the heads of senior staff. When key estimators were unavailable, the process slowed dramatically or stalled entirely.

JSG designed and implemented a custom estimating and bid management platform tailored to commercial electrical contracting workflows.

Key Components

Standardized Estimating Engine A structured estimating tool was built with pre-loaded material costs, labor rates, and markup formulas specific to commercial electrical work. Estimators selected components from a centralized database rather than building quotes from scratch.

Dynamic Material Pricing The system integrated with supplier pricing feeds to keep material costs current, reducing the risk of quoting with outdated prices and protecting margins.

Template-Based Bid Builder Reusable templates were created for common project types (tenant improvements, new construction, panel upgrades, lighting retrofits), allowing estimators to generate accurate quotes in a fraction of the time.

Bid Pipeline Dashboard A centralized dashboard gave leadership visibility into all outstanding bids, win/loss tracking, average margin per project type, and estimator workload.

Approval Workflow Bids above a defined threshold required management review before submission, ensuring pricing discipline on high-value projects.

CRM Integration Completed estimates were linked to customer records and project history, creating a searchable archive of past bids for reference and continuous improvement.
