Appointment scheduling for required in-person steps such as fingerprinting, exams, and interviews was managed through a shared calendar system that only internal staff could access. Applicants had to call during business hours to request an appointment, and double-bookings were common. No-show rates exceeded 20% because applicants could not easily reschedule.

Secure Document Upload & AI Verification Applicants gained the ability to upload required documents directly through the portal. Azure OpenAI was integrated to perform initial document verification, checking that uploaded files matched the required document type, were legible, and contained the expected information fields. Documents that failed verification were flagged immediately with clear instructions for correction, reducing the rate of incomplete submissions by over 60%.

Self-Service Appointment Scheduling A scheduling module allowed applicants to view available time slots, book appointments, and reschedule or cancel without calling the agency. Zapier handled calendar synchronization between the portal and the agency's internal scheduling system, and triggered confirmation and reminder notifications via email and SMS at 48-hour and 2-hour intervals before each appointment.
