Microsoft Copilot for Business: What It Actually Does, What It Costs, and Is It Worth It

Microsoft has been aggressively pushing Copilot across its entire product line, and if you are a business running Microsoft 365, you have almost certainly seen the prompts to upgrade. The pitch is compelling: AI built directly into the tools your team already uses — Word, Excel, PowerPoint, Outlook, and Teams. No new software to learn, no separate AI tool to manage, just smarter versions of the applications you are already paying for.

The reality is more nuanced than the marketing suggests, but that does not mean Copilot is not valuable. It means you need to understand what it actually does, where it genuinely saves time, and where it is not yet worth the investment. As a Microsoft partner, JSG has deployed Copilot for multiple clients, and we have seen both the wins and the limitations firsthand.

This article is our honest assessment. We are not going to tell you Copilot is magic, and we are not going to tell you it is a waste of money. The answer depends on how your team works and what problems you are actually trying to solve.

Most small and mid-sized businesses run on Microsoft 365. Email lives in Outlook. Documents live in Word and SharePoint. Spreadsheets live in Excel. Meetings happen in Teams. The tools work, but they are time-intensive. Writing a proposal means starting from a blank page. Summarizing a long email thread means reading every message. Microsoft 365 Copilot works by connecting a large language model to your organization's Microsoft 365 data — your emails, documents, calendar, and Teams conversations. When you ask Copilot to draft an email reply, it understands the context of the conversation. When you ask it to summarize a meeting, it uses the Teams transcript. When you ask it to create a presentation, it can pull from existing documents in your SharePoint.

The integration is the real advantage. Unlike standalone AI tools where you have to copy and paste content, Copilot already has access to your organizational data within the Microsoft ecosystem. This makes the experience significantly smoother for tasks that involve your existing information.

For complex financial models or large datasets with specific formatting requirements, it still struggles. It is best thought of as a capable assistant for straightforward data questions, not a replacement for an experienced analyst.

- The $30/User/Month Price Requires Selective Deployment At $30 per user per month on top of your existing Microsoft 365 subscription, Copilot is not cheap — especially for a 20 or 30 person organization. The smart move is not to deploy it to everyone. Identify the roles that will benefit most — executives, project managers, client-facing staff, analysts — and start there. Roll out wider only if you see measurable time savings.

One of our clients, a professional services firm with 25 employees, deployed Copilot selectively to their 8 client-facing staff members and 3 executives. After 90 days, they measured the impact. The client-facing team reported saving an average of 45 minutes per day on email management and proposal drafting. The executives found the Teams meeting summaries valuable enough that they stopped requiring detailed meeting minutes from their assistants.

However, they also found that deploying Copilot to their back-office administrative staff produced minimal benefit. The admin team's work involved specific processes in specialized software that Copilot does not integrate with. The lesson: Copilot's value is directly proportional to how much time a role spends working within Microsoft 365 applications.

We have also seen deployment challenges. Copilot works best when your SharePoint and OneDrive are well-organized. If your company's documents are scattered across personal drives, inconsistently named, and poorly tagged, Copilot will struggle to find and use the right information.
